EXECUTIVE – MICE SALES & OPERATIONS

Job Role & Purpose
  • The Executive – MICE Sales & Operations is responsible for supporting the coordination and execution of MICE (Meetings, Incentives, Conferences, and Exhibitions) projects, including sales support, event operations, and postevent administrative activities. The role involves assisting in ensuring smooth project delivery, maintaining client relationships, and supporting operational efficiency in line with company standards.
Job Responsibilities Pre-Event (Sales & Planning)

  • Support business development activities by identifying potential opportunities and assisting in achieving sales targets.
  • Assist in maintaining good relationships with existing clients and support the development of new client relationships.
  • Prepare proposals, itineraries, quotations, and costing details based on client requirements and guidance from the reporting manager.
  • Assist in project budgeting, planning timelines, and coordinating operational requirements.
  • Coordinate with suppliers and vendors for quotations, bookings, and necessary arrangements.

Event Execution (Operations & Coordination)

  • Support the coordination and execution of MICE projects, including travel arrangements, accommodations, transportation, venue bookings, and on-site support.
  • Liaise with vendors, suppliers, hotels, and service providers to ensure timely delivery of services.
  • Coordinate travel-related arrangements such as flight bookings, hotel reservations, ticketing, and transfers for corporate clients.
  • Work closely with internal departments including sales, operations and finance to ensure smooth event execution.
  • Communicate with clients during events to assist with enquiries, updates, and operational matters.

Post-Event (Follow-Up & Reporting)

  • Assist in post-event evaluations, client feedback collection, and preparation of event reports.
  • Support invoicing processes, payment follow-ups, refund requests, and project closure documentation.
  • Prepare reports on project status, operational matters, and client feedback for internal review.
  • Maintain good client relationships to support repeat business opportunities.

General Operations

  • Ensure full adherence to Standard Operating Procedures (SOPs) and maintain confidentiality of client and company information.
  • Maintain proper documentation and filing of project-related records.
  • Assist in resolving operational issues during events and escalate matters when necessary.
  • Perform any other duties assigned by the company to support business and operational needs.
Job Specification
  • Bachelor’s degree in Tourism, Hospitality, Business Administration, Sales & Marketing, or a related field.
  • A minimum of 2 to 3 years of sales experience, preferably in the corporate travel industry.
  • Good customer service orientation with the ability to maintain professional relationships with clients and stakeholders.
  • Good communication, presentation, negotiation, and interpersonal skills.
  • Ability to work under pressure and handle multiple tasks and projects.
  • A team player with a positive attitude and willingness to learn.
